Matthew Kanas, Intuit Canada’s senior marketing manager of apps and developer relations, admits wading through the pros and cons of thousands of apps on the market can seem daunting. Thankfully, QuickBooks Online alleviates a lot of the hard work by making it easy to find apps for your business.

Simply log into the QuickBooks website or go to www.apps.com, enter keywords in the search engine and it will bring up a list of apps to suit various industries. The apps database even allows you to search by category, and hundreds of apps all integrate seamlessly with QuickBooks Online.

“What we’ve found is a small business owner wants to automate the stressful administration parts of their business such as accounting and expenses,” Kanas says. “They want to make sure everything is accurate, so at the end of the day they aren’t spending five or six hours doing tax remittances or reconciling expenses.”

Kanas says Intuit Canada works closely with app developers to create apps that complement – and work in unison – with QuickBooks,  to create a simple, efficient and automated financial management system for small business owners.

He says many apps help “make accounting invisible” so that processes such as cash flow management and profit and loss reports are done behind the scenes to enable small business owners to focus on customer relations and strategy.

Track Your Time

TSheets: TSheets is an employee time-tracking app with an intuitive GPS, which allows you to know exactly where your staff are – who’s working on what and where. It’s a practical choice for contracting businesses such as a building company owner who has crews working on multiple sites at any given time. Integrate the app with your existing software, such as QuickBooks Online, to automatically export timesheets and halve the hours you’d normally spend processing payrolls. Cost: From $8/month.

Boomr: A modern day employee time-tracking solution, this app allows you to manage time cards in the cloud. Your staff can check in and out of work from their mobile devices, and the data is uploaded to QuickBooks Online instantly. Employees can also add work locations and document the work tasks they are accomplishing in real-time. Ideal for construction and building services, house cleaning, catering and events, and sales teams. An added bonus is you can review and approve shifts at your convenience before sending it to payroll. Cost: Plans range from $19–$79/month.

Manage Your Money

Hubdoc: How frustrating is it sorting through myriad receipts when you return from a business trip? With Hubdoc, users can immediately take photos of receipts with their mobile devices and upload them to the app, which then sends them to QuickBooks Online. It also fetches vendor invoices and bank statements from your email and uploads them to your account. Cost: $20/month.

Float: “Cash flow is the lifeblood of any business and it can make or break a business,” Kanas says. It’s why a cash flow management app like Float, which provides a real-time financial dashboard for small businesses, is essential. It allows small businesses to create budgets, and keeps track of cash coming in as well as money going out. Cost: Plans range from $29–$99/month.

Stay Connected With Your Customers

Insightly: Used by more than 40,000 customers worldwide, Insightly is a customer relations management (CRM) tool that works with QuickBooks Online by taking customer information from every transaction entered into the system and saving it for analysis. Team members can also collaborate through the app and combine their efforts in projects and tasks, or they can share leads. Insightly is rated as the top CRM app for small businesses on the QuickBooks Online system, and the ratings all come from other users like you. Cost: Plans range from $12–$99/month, as well as a free version.

Measure Your Performance

Fathom: How do you know how well your business is performing at any given time? Fathom makes it easy to tell. Fathom looks at numerous KPIs to gauge performance. For example, if you want an update on your sales team, the app produces reports and create visuals to give you clear insight into how much revenue they have been generating for the company. Cost: Plans range from $39–$280/month.
